HOW IT WORKS – SETTING UP YOUR DOMESTIC PAYROLL
PayTalent is a completely web based payroll system. It has
been designed to make the running of your domestic payroll simple and hassle
free.
We have assumed that you, as a user, have no prior payroll knowledge, and as such designed a wizard which
will guide you through the setup process and ensure that all required
information has been filled into the system correctly.
Before you start the process, please make sure that you
have the following information available:
About yourself:
So that we know who to contact and send reports etc. to, we need….
• Your physical address
• Your phone number
• Your cellular phone number so that we can send you sms
reminders
• Your ID number
About your employee(s):
For each of your domestic employees, we require the
following information…
• The employees name and surname
• The employees ID number or passport number
• The employees date of birth
• The date on which the employee started working for you
• The day or date on which you pay the employee each week
or month
• The amount of money that you pay your employee each day,
week or month
About your UIF:
By law, as a domestic employer, you have to be registered
with UIF.
• If you are already registered
with UIF, we only need your UIF number.
• If you are not yet registered with UIF it is not a
problem. Simply select the “Please register for me” during the setup wizard and
we will do thepaperwork and registration for you, at no cost to yourself.
Already registered?
If you are
already registered with PayTalent, click the "Login" link on the top right of the
home page and enter your user name
and password. .
The system will search for your name and password and if a
match is found on our system, you will be shown the
main menu of the PayTalent site, with your payroll information and action
buttons to maintain your payroll and run reports.
New to PayTalent?
If you are new to PayTalent, click on the sign up link
on the home page.
After completing the sign up procedure the PayTalent system
will email you your password which you can use to login and authenticate your
email address.

steps to set up your payroll:
Once logged into the site, you will automatically be
presented with a wizard that
will quickly and easily guide you through the three
steps of setting up your payroll.
Step
1:
The first thing you
need to do is tell us about yourself, as the employer of the domestic
worker(s).
Once you have completed filling in the fields click on the save button. You will then be returned to
the wizard on the main screen. The first step will be marked as done and the
wizard is now ready for you to complete the “Tell us about your employees”
section of the setup.
Step
2:
Fill in the fields on the screen
for your first employee. The system is flexible enough to handle weekly,
fortnightly and monthly paid employees. You are also able to select options
whereby PayTalent will pay over your UIF and also your employees take home or net pay if you so require.
Once you have completed filling in the fields click on the
save button. The system will ask you if you want to add another employee and
repeat the step until you have added all your domestic employees. You will then
be returned to the wizard on the main screen. The
second step will be marked as done and the wizard is now ready for you to
complete the “UIF Information” section of the setup.
Step
3:
As a domestic employer in South Africa, you are required by
law to register for UIF. If you are already
registered, simply enter your UIF number, select your province and click on the
button to complete the setup wizard.
If you are not yet registered, PayTalent will do it for
you. There is no cost involved. Just select YES in the “I would like PayTalent to register me with the Unemployment Insurance
Fund”
and click on the button to complete the setup wizard.
What happens when PayTalent registers for me with UIF?
PayTalent will electronically send yours
and your domestic employee(s) details to the UIF department. They will load
your details onto their system and issue a UIF number to you. They then email
PayTalent your new UIF number and we load it onto the PayTalent system for you.
We will also send you an email confirming that your
UIF registration is complete and tell you what your UIF number is.
What happens once I sign up? How do I pay my employee?
The PayTalent system will now automatically keep you up to
date with email and SMS reminders. You will be sent
remittance reports showing you the costs and amounts to be paid over to
PayTalent as well as employees’ payslips and other payroll reports.
We suggest that you log into your internet banking and
setup PayTalent as a recipient. If your domestic employee
receives the same amount of take home or
net pay each month, you can even
setup a scheduled payment and not have to lift a finger to pay your employee
until his or her next salary increase (which we will even remind you to do!).
Please note that PayTalent will
only pay over your employee’s
salaries once the funds are reflected as cleared in our bank account. As such,
we do not advise payment into our account by cheques as this can take up to two
weeks before the funds are cleared.
